Job Description

Our firm is looking for an Administrative Assistant with a minimum 2 years of experience who can work in a fast-paced work environment, work under pressure and meet tight deadlines. This is a permanent, full-time position.

English proficiency is a must.

Minimum High School completion is required to apply.

NUMBER OF POSITIONS AVAILABLE: 1

START DATE: As soon as possible

RESPONSIBILITIES:

Create and proofread correspondence, forms and other documents as required

Develop and implement standard operating procedures (SOPs) for office tasks and activities

Plan and organize daily operations

Direct and control daily operations

Manage and supervise day-to-day activities of the firm

Coordinate the flow of information within the respective teams

Evaluate daily operations, take actions and report unresolved issues to the Managing Director to ensure smooth running of the firm

Schedule and confirm appointments with vendors and clients

Maintain manual computerized filing systems

Respond to inquiries and other incoming calls and relay messages to the concerned person

Answer electronic inquiries for products and services

Order products from vendors based on inquiry and maintain inventory

Record, organize and analyze data and statistics of products and services

Perform checks on payroll administration (by a third party), liaise with third party and employee to resolve any miscalculations in pay

Liaise with customers and third party service providers for warranty claims and ensure prompt resolution of claims

Perform final checks and signoffs on reports

Oversee project assignments, coordination and evaluation

Train other workers

Direct staff

Create and execute a hiring plan to attract and retain qualified staff to fit business needs

Provide customer service to clients, vendors and customers

Recruit workers and ensure smooth onboarding process

Oversee training of new staff

Respond to employee questions and resolve complaints

Maintain and manage in-house digital databases

Provide ongoing customer service and complaints resolution after sale

Review and revise procedures to maintain occupational health and safety
